Supplement Sample Approval and Acceptance Checklist
Define what a prototype must test, how reviewers record feedback and what remains open before commercial production.
Prepare a controlled sample brief
Identify formula/version, target serving, ingredients, format, market, sensory goals and proposed packaging. Name a single decision owner and reviewers. State the purpose of each prototype: ingredient loading, taste, texture, dispersion, shell or pack evaluation. Do not change every variable without recording it.
Record receipt and observations
Record sample ID, batch/reference, receipt date, storage instructions, package condition and review date. Keep observations tied to that sample. Score agreed attributes such as appearance, odor, flavor, aftertaste, mouthfeel, size, mixing or handling. Record comparison conditions and reasons for rejection.
Separate sensory approval from release
Document tests and acceptance limits required for the intended product. Prototype taste approval does not establish potency, microbiological conformity, shelf life or commercial-scale consistency. Mark each item approved, rejected or pending with evidence, owner and next action. Do not label an untested claim “passed”.
Close the sample round
Record agreed changes, revised formula or pack version, retest needs, retained reference and approval signatures/date. Freeze the specification only when open technical, market and documentation questions are resolved. Agree how later changes trigger new samples or testing.
References and review date
Updated 2026-10-21. Practical procurement guidance; project acceptance criteria must be agreed separately.
